Teams often argue about on-premises versus SaaS as if one is always better. It is not. The right choice depends on your data, your team and your timeline. Work through these seven questions together with IT, security and finance.
1. Where must the data physically live?
Check regulations, internal policy and customer contracts. Rules differ by sector and country, so confirm with your legal or compliance team instead of assuming.
2. Who will operate it when something breaks at 2 a.m.?
Patching, backups, monitoring and recovery need people and time. Be honest about your team’s capacity. If the team is small, a managed service can be safer than a server nobody has time to look after.
3. How fast do you need to start?
SaaS usually starts faster because there is no hardware to buy and no environment to build. On-premises needs servers, network changes and a security review before the first user logs in.
4. What is the real cost over three to five years?
Do not compare only the first year. Put both models side by side with the same items:
- On-premises: servers, licences, storage, backup, power, disaster recovery, staff time
- SaaS: subscription, extra users, integrations, support level
5. How will it connect to your core systems?
If your ERP runs inside your network or a private cloud, think about connectivity early: firewalls, VPN, latency and who owns each connection. A hybrid setup, with data local and the front end in the cloud, is sometimes the practical middle.
6. What do your security reviewers require?
Write the list before you evaluate options, and ask any provider, including us, to answer it:
- Sign-in through your identity provider (single sign-on)
- Role-based access and audit logs
- Encryption, backup and recovery procedures
- Independent security testing, if your policy requires it
7. Can you change your mind later?
Prefer products that run the same way in both models and let you export your data in a usable format. Then moving later is a planned migration, not a rebuild.
A quick way to read your answers
- Lean on-premises when data location rules are strict and you have a team to operate it.
- Lean SaaS when speed matters and the IT team is small.
- Consider hybrid when you want to move gradually or keep some data local.
Every D-TECH product can run on-premises, as SaaS or as a hybrid. If you are not sure which fits, tell us about your setup and we will help you compare the options.
